Guest Lists Without the Chaos

Comps, plus-ones, industry, family — guest lists are small money and big headaches. How to run one that the door respects and that doesn't quietly eat your capacity.

The guest list is tiny compared to a guarantee, and it causes a disproportionate amount of night-of stress. Names missing at the door, plus-ones that multiplied, a list so long it ate into paid capacity, an important industry guest who got turned away. None of it is hard; all of it is process.

Agree the count in the advance

Your comp allocation is a term, not an assumption. Confirm how many spots you get in the advance, whether plus-ones count against it, and how the venue wants the list delivered. A venue near capacity will care a lot about this; sort it before load-in, not at doors.

Decide the comp rules in the advance; hand the door one clean page.

Separate the kinds of guests

Not every name is the same. Family and friends, industry and press, trades with the openers, and the band's own comps all have different rules and priorities. Tracking who invited whom and why means that when the list has to be trimmed, you trim the right names instead of the loudest.

Capture plus-ones explicitly

"+1" is where lists balloon. One name with an unspecified guest becomes two, and twenty names become forty. Record the plus-one as its own line so the real headcount is the number you actually see.

Deliver a clean list the door can use

The door doesn't want your group chat. They want a single, legible list — names, counts, and any notes — delivered the way the venue asked. A branded guest-list export per show that the box office can work from is the difference between a smooth door and a scene.

Watch it against capacity

Every comp is a seat that didn't sell. On a tight-capacity night, a bloated list is real money. Keeping the comp count visible against the room's size keeps a favor to a friend from quietly becoming a loss.

Guest lists are small stakes done badly and invisible done well. The whole trick is deciding the rules in the advance and handing the door one clean page.

MANAGR tracks guests by type and plus-one, keeps the comp count against capacity, and exports a clean branded guest list per show for the box office.
