How to Get Paid Faster as an Artist Manager
Late payments quietly kill cash flow. Here's the deposit, invoicing, and follow-up system that gets managers and their artists paid on time — without the awkward chase.

Every manager knows the feeling: the show happened three weeks ago, the band crushed it, and the guarantee still hasn't landed. Getting paid is the least glamorous part of the job and the one that keeps the lights on. The good news is that most late payments aren't a dispute — they're a process gap. Close the gap and the money shows up.
Always take a deposit
The single biggest lever is collecting a deposit before the date — typically 50% on signing of the performance agreement, with the balance due the night of the show or within a set number of days after. A deposit does two things: it confirms the promoter is real, and it means a cancellation never leaves you fully exposed. If a buyer won't put anything down, that tells you something too.
An aging view turns a vague “who owes us?” into a call list.
Invoice the moment the work is done
Send the balance invoice the same day — ideally before the band has left the venue. An invoice should carry a clear number, the show date and city, the agreed guarantee, the deposit already received, the net balance due, a due date, and exactly how to pay. The faster and cleaner the invoice, the fewer reasons anyone has to sit on it.
Make the due date explicit
"Net 15" or "due on receipt" is not a suggestion — it's a term. Put it in writing on the deal and repeat it on the invoice. Vague expectations get vague results; a date on the page gets paid.
Automate the follow-up
Nobody wants to be the person sending the third "just checking in" email. Build a simple cadence: a friendly reminder the day a payment is due, a firmer note a week later, and a direct call if it crosses two weeks. The chase stops feeling personal when it's just the system running.
Track receivables in one place
You cannot collect what you cannot see. Keep a live list of what's owed, by whom, for which show, and how old it is. An aging view — current, 30, 60, 90 days — instantly shows you which promoter needs a phone call today versus a reminder next week.
Getting paid faster isn't about being aggressive. It's about removing every reason a payment could slip: take the deposit, invoice instantly, state the date, follow up on rails, and watch the aging. Do that consistently and the awkward chase mostly disappears.
